Terms & Conditions

*If you are hiring our venue please visit our Venue Hire terms and conditions for booking agreements.

To make a booking

To book a course, you can book online, call 01453 759034, or email info@hawkwoodcollege.co.uk. To secure your place on the course and accommodation, early booking is recommended. Please note that your booking cannot be confirmed without a deposit or fee payment. Whatever your method of booking, you will be sent a written confirmation, further details about Hawkwood, what you should bring, and a map with instructions on how to find us.

Deposits

There is a minimum deposit (please read our cancellation policy below), the cost of which will vary depending on the course. To ensure yourself a place on a course, book in advance! The balance of fees are due no less than 4 weeks prior to the course start date.

Cancellation policy

Please note: we strongly recommend you take out your own holiday insurance in case you have to cancel through illness or unforeseen circumstances.

If you have to cancel

We only offer refunds if your cancellation is made no less that four weeks prior to the course start date. An administration fee of 20% of your payment will be deducted in the event of cancellation.

If a cancellation is made within the four week period before your course is due to start, unfortunately we cannot offer a refund.

There are some exceptions to this policy. This is the case of Gong Master Training, where the balance is due eight weeks before the course is due to start. Therefore cancellations can be made eight weeks prior to the course start date (minus a 20% administration fee).

Full Course Fee: You are required to pay your full course fee (outstanding balance) no less than four weeks before the course start date.

If you have settled your outstanding balance: The full course fees are non-refundable if cancellations are made within the four-week period prior to the course start date.

If we have to cancel

Hawkwood reserves the right to cancel a booking, but if this happens we will give you as much notice as possible. In the event of a cancelled course, the full amount paid will be refunded. Hawkwood can accept no further liability for course cancellations beyond this refund.

Arrival and departure times

Please refer to the information on the booking page for each course.

Meals and dietary requirements

Hawkwood has a reputation for delicious meals; organically grown vegetables and meats are used where possible, and all food served is GMO-free.

We will do our best to cater for special dietary requirements but these, along with any food allergies, must be noted at the time of booking.  We will be unable to accommodate changes to diet when you arrive as our meals are planned with great care in advance.

Please remember the meal option you have booked (meat, vegetarian, vegan) and do not ask to change during the weekend as the meals are planned and cooked with your requirements in mind.

If you wish to change your meal option for courses you have already booked, please contact us at least one week in advance via info@hawkwoodcollege.co.uk

Our Regulations

  • No smoking is allowed within the buildings
  • Hawkwood does not assume responsibility for guests’ property, including personal belongings and vehicles.
  • On the day of departure, we ask that resident course members vacate their rooms by 9.30 am to allow room preparation for the following courses
  • Pets cannot be accommodated at Hawkwood (assistance dogs only by prior arrangement)

Bursaries and concessions

We may be able to offer concession rates and bursaries to those who wish to take part in Hawkwood courses but find it difficult to do so without some financial assistance. Funds are limited. Please head to our Bursaries page for more information here.
