Terms & Conditions

COVID-19 Update. Flexible Rebooking Policy at Hawkwood Centre for Future Thinking.

In the event we have to stop running a course in person due to government guidance on coronavirus (COVID-19), we will do one of the following:

Move course online
We might propose to move the course from in-person to online if deemed suitable to the course content. If this is not suitable for the participant, the flexible booking policy applies.

Postpone or delay
If we have to postpone the start date and the participant can not make the new proposed dates the flexible booking policy applies.

Cancellation and flexible booking policy
In the event that the government guidance results in a course cancellation, participants will have the flexibility to move their booking to the rescheduled course, when available, or to an alternative course within 12 months of the start date of their cancelled course with no additional charges. If the participant requests to rebook onto a higher priced course, then an additional charge may be necessary. Once the rebooked dates are confirmed the participant will not be able to change these again unless this booking is subsequently affected by COVID-19, where then the flexible booking policy will again apply.

The flexible rebooking policy is only available for cancellations related directly to government changes to coronavirus (COVID-19) restrictions which may affect your in-person course booking at Hawkwood. Our bookings T&C’s (below) still apply to all other cancellation reasons.

To make a booking

To book a course, you can book online, call 01453 759034, or email info@hawkwoodcollege.co.uk. To secure your place on the course and accommodation, early booking is recommended. Please note that your booking cannot be confirmed without a deposit or fee payment. Whatever your method of booking, you will be sent a written confirmation, further details about the college, what you should bring, and a map with instructions on how to find us.

There is a minimum, *non-refundable deposit (please read our cancellation policy below) which will vary depending on the course. To ensure yourself a place on a course, we recommend that you don’t leave booking until the last minute! The balance of fees is due six weeks before the course starts. Fees are non-returnable if you cancel within this six week period.

*Cancellation policy

Please note: We recommend you take out your own holiday insurance in case you have to cancel through illness or unforeseen circumstances, or in case the course is cancelled for other reasons.

If you have to cancel…

Deposits are non-refundable unless we hear about your cancellation at least three months ahead of the course. If you cancel within six weeks of the course start date, the full course fee is due and non-returnable.

If we have to cancel

Hawkwood reserves the right to cancel a course, but if this happens we will give you as much notice as possible. In the event of a cancelled course, full fees including deposits will be refunded. Hawkwood can accept no further liability for course cancellations beyond the course fee refund.

Arrival and departure times

Unless otherwise stated, arrival time is between 4:00 and 6:00 pm on the first day of the course, with the course beginning with supper at 6:30 pm. For one day courses, arrival is generally 9-9:30 am, finish 5-5:30 pm. Longer courses usually finish by afternoon tea (4:00 pm) on the last day. Unusual start and finish times will be noted on the website.

Meals and dietary requirements

Hawkwood has a reputation for delicious meals as well as providing for other dietary requirements. Please let us know beforehand to ensure we are best able to meet your requests; it may not be possible to cater to them if we only know at the last minute! Organically grown vegetables and meats are used where possible, and all food served is GMO-free.

Please note:

  • No smoking is allowed within the buildings.
  • The College does not assume responsibility for guests’ property.
  • On the day of departure, we ask that resident course members vacate their rooms by 9.30 am to allow room preparation for following courses.
  • Pets cannot be accommodated at the college (assistance dogs only by prior arrangement).

Bursaries and concessions

Bursaries and concessions are available for many courses through The Eileen Nesfield-Cookson Memorial Bursary Fund. We are often able to offer concession rates and bursaries to those who wish to take part in Hawkwood courses, whether music, art or crafts, but find it difficult to do so without some financial assistance. Funds are limited, and we recommend that you contact us early. Please apply using the form here. Contributions to the Fund are most welcome.
